International Media Festival for Prevention 2020
Terms of Participation
The International Media Festival for Prevention (IMFP) takes place from October 4th – 7th, 2020 as part of the XXII World Congress on Safety and Health at Work in Toronto, Canada. The organisers of the IMFP are the “Electricity” and “Information” sections of the International Social Security Association (hereinafter referred to simply as “Organisers”).
Parties interested in participating in the festival can do so by sending in their media contributions. Such contributions can consist of films or multimedia applications (hereinafter referred to simply as “contribution”). Parties invited to participate in the IMFP include in particular: institutions involved in the work field of “Safety and Health at Work”, companies, agencies, film producers, multimedia companies and television broadcaster (hereinafter referred to as “Participants”).
All contributions are required to have been produced after February 29th, 2020. To be eligible, contributions must address the topics of safety and health in the workplace and road traffic safety. The contributions should pursue one of the following objectives:
- motivation or instructions for safe behaviour
- focusing attention on or creating awareness for recognising hazards in the workplace/in road traffic
- improving company organisation/communication.
Contributions which fail to fulfil these criteria or which feature offensive or radical content can be rejected by the organisers of the festival. The decision regarding such rejections will be made by the Festival Working Group. As such, no legal recourse is possible regarding such rejections.
The deadline for entries is February 29th, 2020. Contributions received after this date can no longer be considered for participation. However, the Organisers reserve the right to move the entry deadline to a later date.
An Online Registration Form must be filled out for each contribution submitted. This form is available at www.mediainprevention.org
Format and Medium
Contributions can be submitted as DVDs (PAL/NTSC), data CDs/DVD. Online contributions can only be submitted as a web link specifying the complete URL. Those contributions submitted via our website will only be accepted in compressed form in the formats “.wmv”, “.mpg2” or “.mpg4”. Uncompressed contributions or contributions submitted in other formats or forms cannot be considered for participation.
The Participants are responsible for the technical quality of the contributions. The Organisers accept no liability whatsoever for any loss of quality resulting from the transmission of the contributions.
The Participant accepts the obligation to bear any and all costs associated with the submission, in particular shipping fees, any insurance costs, customs duties and any other processing fees. The Organisers assume and issue no guarantee for customs clearance. However, the Organisers equally will not charge the Participants for the participation in and of itself or for any processing of the contributions.

Participants are requested to include a copy of the registration confirmation they receive via e-mail with their submissions in order to ensure the clear identification and allocation of their submissions. We herewith expressly notify the Participants that the Organisers will not return the submitted contributions following the conclusion of the festival.
No fees are charged for the participation in the festival. The festival is a component of the XXII World Congress on Safety and Health at Work in Toronto, Canada The personal participation in the festival in Toronto, Canada requires participation in the World Congress at the terms the congress stipulates.
The languages for the festival are English, Spanish, French and German. Contributions will also be accepted in all other languages, but registration of the contributions must be conducted in writing in one of the festival languages.
Working Groups - Film, Multimedia/Jury
The International Social Security Association (ISSA) Electricity and Information Sections have formed a “Festival Working Group” for the preparation of the IMFP. This Working Group’s job is to establish the framework conditions for the IMFP. The Film Working Group decides whether a contribution is accepted for inclusion in the IMFP and in the festival’s cinema programme.
An independent international jury comprised of experts from the fields of communication and prevention will evaluate all of the approved contributions and will ultimately select the prize winners by majority vote.
All of the contributions approved by the Film and Multimedia Working Groups will be included in the IMFP Media Library (www.mediainprevention.org), which will be made publically accessible no later than following the conclusion of the festival.
All of the approved contributions will be accessible for use to the congress visitors in an on-site media centre.
After the entry deadline, the Film and Multimedia Working Groups will vote to determine which contributions are to be broadcasted during the festival at the on-site cinema.
In May of 2020, the jury will decide which contributions are to be nominated for a prize. The Participants will be notified of these decisions. The winners of the IMFP will be announced and will be awarded their prizes during the XXII World Congress for Safety and Health at Work in Toronto, Canada. We herewith refer expressly to the publication of the personal data of the award winning Participant(s) in accordance with our Data Privacy Notice.
If the award winning Participant(s) is/are unable to attend the award ceremony, the prize(s) will be sent to each respective Participant by post.
Rights and Obligations
The Organisers of the IMFP are authorised to use and publish the personal data of the prize winners for public relations work within the framework of the festival. Such data includes the name of the Participant and/or his/her title, function and/or professional field of activity and more specific details regarding the submitted contribution.
Participants in the Online Category accept the obligation to provide internet access to the submitted web address/URL for evaluation by the jury during the congress as well as public internet access to such for a period of 6 months following the award ceremony. Should the contribution be inaccessible, this alone is sufficient grounds for it to be rejected by the IMFP.
The Participants are solely responsible themselves for the payment of any and all fees and duties which might accrue as a result of the publication (e.g., GEMA fees or other licensing fees).
The Participants provide the submitted contributions to the Organisers free of charge. Processing, usage, publication and/or exploitation of the contribution by the Organisers do not entitle the Participants to any form of remuneration whatsoever by the Organisers. The scope of the usage rights for the contribution is determined by the Terms of Participation and the contents of the Participant’s registration. Regardless of the scope of usage, no right of remuneration from the Organisers arises for the Participant.
The Participants provide their express consent for the usage/processing/publication of the submitted contributions in the scope agreed to in the registration. In particular, this also includes abridgement for the purpose of publication. The contributions will be made accessible both online and offline to all of the visitors to the congress. In this regard, the contributions will be available on-site in a media centre. Individual contributions will be broadcast on-site in a cinema.
To the extent that the Participants have consented to publication of the contribution on the IMFP “YouTube” channel, the IMFP website (www.mediainprevention.org) or to its usage for purposes of reporting or advertising, then such consent applies in perpetuity. The consent can be withdrawn from the Organisers by the Participant at any time without the necessity of specifying the grounds for such withdrawal. The Organisers are authorised by the Participant to process the contributions for these purposes. In particular, the Organisers are authorised to abridge the contributions and to only use excerpts or still images from them.
Liability Disclaimer/Legal Recourse
The Organisers are only liable to the Participants for damages resulting from wilful intent or gross negligence. This applies in particular for any damages or disadvantages which could emerge for the Participants as a result of the usage or processing of the contributions.
In the event of damages emerging for the Organisers as a result of the exploitation or publication of the contributions, the Organisers expressly reserve the right to legal recourse. This applies in particular in cases of the violation of copyrights or licensing rights.
Data Privacy Notice
The Organisers will collect the personal data of the Participant during the course of the participation, complying in particular with the provisions of the German Federal Data Protection Act (BDSG) and the German Federal Telemedia Act (TMG). Without the consent of the Participant, the Organisers will only collect, process or use the Participant’s reference data and usage data to the extent that such is necessary for the participation in the event.
The Organisers will refrain from using the Participant’s data for purposes of advertising, market research or opinion polling without the consent of the Participant.
The Organisers of the IMFP are authorised to publish and use the personal data of the prize winners for public relations work within the framework of the festival.
